Position Summary
The Project Coordinator supports the projects department and construction teams with regards to managing IRA apprenticeship requirements, wage determinations, payroll recordkeeping and general office support and other tasks as needed. This role involves staying up-to-date with the latest regulations, implementing necessary changes, and providing guidance to various departments to ensure compliance.
Essential Functions
- Oversee and manage the IRA apprenticeship program requirements.
- Monitor, maintain, and enforce adherence to all applicable regulatory requirements, industry standards, and company policies to ensure organizational compliance and mitigate potential risks.
- Provide guidance to contractors in acquiring accurate wage determinations in full compliance with federal, state, and local regulations, ensuring documentation meets all statutory requirements and contractual obligations.
- Administer and maintain payroll documentation for all contractors, ensuring accuracy and data integrity while managing seamless integration with designated management systems
- Conduct thorough assessment of compensation reports to verify compliance with project-specific wage requirements, identifying discrepancies and implement corrective measures to maintain contractual and regulatory compliance.
- Coordinate with external partners to ensure complete and accurate project closeout documentation, facilitate timely submission of all required materials to the tax department in accordance with established protocols.
- Stay updated on changes to federal, state, and local labor compliance and prevailing wage regulations, applying updates as needed.
- Develop and implement IRA labor compliance policies, procedures, templates, and instructional materials to ensure regulatory adherence.
- Creating and managing PO’s and requisitions for the Projects team, when needed.
- Review, receive and resolve discrepancies on receiving documents and invoices.
- Collects, reviews and analyzes data and prepares reports.
- Maintains files, databases, and archives of relevant records.
- Qualifies vendors, evaluates bids as, necessary.
- Work with Vendors to obtain banking information for new vendor setups into system as necessary.
- Proactively identifies and works to resolve any site issues that may impede the project delivery.
- Works with Projects team to request quotes and scheduling deliveries whenever necessary.
- Assists in the review process regarding GAN compliance software program and uploads contracts, bids on an annual basis.
Other Responsibilities
- Other duties and projects as assigned by management.
- Site visits and/or deliveries as necessary.
Education, Experience, and Skills Required
- High school diploma or GED required.
- Bachelor's degree in Business, Environmental Science, or equivalent experience preferred; additional education or certification in office administration, payroll, or a related field is a plus
- Minimum of 2-3 years of experience in a similar role within the construction industry.
- Strong understanding of IRA apprenticeship requirements and wage determination processes.
- Excellent analytical, organizational, and communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- The ability and knowledge to operate a variety of standard office equipment.
- Must have the ability to work little or without supervision.
- Ability to analyze, gather and summarize data for reports and find solutions to various administrative problems.
- Must have a high level of interpersonal skills with the ability to handle sensitive and confidential situations.
- Must be able to establish priorities, have attention to details and the ability to meet deadlines.
- Professional appearance and telephone etiquette essential.
- Excellent verbal and written communication skills required.
- Must be able to communicate with other employees and read and write at a level that will enable to perform the work in a safe and efficient manner.
Physical Requirements
- The ability to work at a computer and computer monitor and use repetitive motion for long periods of time.
- The ability to occasionally lift up to 25 pounds.
- This position requires sitting 80% of the time and standing and walking 20% of the time.
