Adminstative Supervisor

Position Summary

This position is responsible for overseeing the day-to-day activities and performance of administrative personnel while ensuring the most efficient methods are utilized and executed. The Admin Supervisor will work in conjunction with the Admin Manager on monitoring progress, providing guidance, and addressing immediate issues that arise. Admin personnel may include staff from Resource/Drilling, Plant Ops and/or Corp Admin.

Essential Functions

  • Oversees and performs clerical and administrative supports tasks.
  • Supports management as an executive assistant in a variety of administrative tasks.
  • Establishes work procedures and standards to improve efficiency and effectiveness of assigned operations.
  • Responsible for overseeing the office facilities and improvements, the office equipment, and the office lease and maintenance.
  • Responsible for coordinating efficient use of Ormat's purchasing and provides input regarding the purchasing system and/or accounting procedures.
  • Responsible for ensuring compliance with corporate and facility policies.
  • Responsible for the cleanliness of the administrative offices.
  • Develops and maintains job-specific desktop procedures for administrative staff.
  • Involved in Human Resource matters including hiring, promotion, disciplinary action and termination of personnel in coordination and management and corporate Human Resources and in accordance with company policies and procedures.Provides leadership, directions, and supervision to the administrative staff.

  • Responsible for maintaining the office equipment leases and assisting with improvements, as directed.
  • Responsible for coordinating and overseeing efficient use of purchasing and provides input regarding the purchasing system and/or accounting procedures.
  • Responsible for ensuring compliance with corporate and facility policies.
  • Responsible for the cleanliness of the administrative office areas. May include common areas.
  • Oversees and performs clerical and administrative supports tasks. Serves as back-up to Admins on an as needed basis.
  • Develops and maintains job-specific desktop procedures for administrative staff.
  • Serve as operational manager for all P-cards. This will include oversight of increase approval and the reconciliation process. (This oversight applies to the Corp Admin Supervisor position, only).
  • Interacts effectively with other departments and act as the liaison between admins and other departments.
  • Works in conjunction with Management on developing strategic and budget plans, as requested.
  • Develops and maintain business relationships with vendors.
  • Possess the skills required of Admin Level I and Level II positions.

Other Responsibilities

  • Performs other related duties and projects as assigned by management.

Education, Experience, and Skills Required

  • High School diploma or equivalent education and/or experience.
  • Must have a minimum of 3 years of administrative experience. Previous supervisory experience and/or previous energy or mining experience a plus.
  • Experience using SAP mandatory.
  • Must have the ability to plan, organize and direct administrative tasks.
  • Must have a telephone manner with excellent verbal and written communications skills.
  • Must be able to be resourceful and proactive when issues arise.
  • Must use initiative in responding to areas that need attention.
  • Must be able to rely on extensive experience and judgement to plan and accomplish goals.
  • Must be able to use and acquire knowledge of a variety of computer software applications in work processing, spreadsheets, database and presentation. Must be proficient in MS Word, Outlook, Excel, Power Point and use of the internet.
  • Must be able to communicate with other employees and read and write at a level that will enable to perform the work in a safe and efficient manner.High School diploma or equivalent education and/or experience.

Physical Requirements

  • Prolonged periods sitting at a desk and working at a computer
  • Manual dexterity needed for keyboarding and other repetitive tasks
  • Must be able to work in a climate controlled, office environment
  • Must be able to operate a vehicle in a safe manner.
  • May be asked to travel to various sites.
  • The ability to occasionally lift up to 20 pounds
